The Executive Assistant is responsible for performing diversified administrative and secretarial functions. Primary duty of performing office or non-manual work directly related to the management or general business operations of the employer or the employer’s customers. Primary duty includes the exercise of discretion and independent judgment regarding matters of significance. Provides general secretarial duties. Coordinates and maintains appointments and meeting calendars for Administrative Team. Accurately composes, transcribes, and distributes letters and reports, as requested. Maintains schedule for hospital boardroom. Prepares agendas, handouts, and minutes for assigned meetings. Maintains administrative files, policies/procedures, and on-call schedules. Screens and directs visitors and phone calls. Reviews and distributes mail and prepares responses to routine inquires. Plans and makes travel arrangements, as requested. Maintains inventory of supplies for administrative area. Observes professional ethics in maintaining confidential information acquired regarding personal, financial, medical or employment of patients, families, and employees of Deaconess Hospital. Must follow and enforce accepted safety practices for patients and Deaconess Hospital. Must report hazards and initiate appropriate action. Must participate in safety instructional programs. Desirable characteristics include a proficiency in MS Office, Outlook, English, office procedures, and written and verbal communications. Must possess ability to establish and maintain effective working relationships with internal and external publics and exhibit efficiency in secretarial skills. Must have a minimum of four years experience in a business office environment or a health care institution. Must be able to follow directions and perform work according to department standards when no directions are given. Must be emotionally mature and able to function effectively under stress.
High School Diploma or equivalent
Two years of college in an accredited secretarial curriculum, or equivalent education/experience.
